Q: How does Aestiva license its products?
A: Aestiva Products are licensed server-based applications. You pay for the software license and can use it forever. This is known in the software industry as a "non-recurring perpetual license." In other words, you pay a set fee for the licensing of the software product (payed one-time or over a number of months if you opt for a lease-to-own plan). Once you pay for the software license, you own it. Recurring fees, such as customer support, are optional.

Server and Browser Compatibility
In most cases only a single server is needed for the application. Aestiva products can be installed on Windows, Linux, and Mac servers. No special software is needed on the server other than the operating system and a web server (such as IIS or Apache - which are free). No software is needed on "client computers" other than a standard browser. The user can use a Windows, Linux, or Mac desktop, an iPad, iPhone, or Android-based device. The operating system on the server does not limit the "client computer" that can be used.

Calculating the Price of a Software License
Name-based pricing, transaction-based pricing, and concurrent-user pricing is posted on this website. Transaction-based pricing is called the Everyone Plan. Speak to your Aestiva Account Coordinator to determine the pricing method best for you.

Server Limits
A single server can support over 1,000 users and over 25,000 transactions per year. The actual limit will depend on your application and server hardware. If you have over 1,000 users or you have over 25,000 transactions annual then please call Aestiva to discuss how best to license and configure your product. Aestiva will determine whether to use a single server, or spread your load across multiple servers.

Q: Can I have complete IT outsourcing (Cloud Hosting)?
A: Yes. Like "Software-As-A-Service," also known as SaaS, Aestiva applications are installed on the world-wide-web and fully outsourced. In other words, Aestiva products are licensed and hosted so all support for the product is supplied by Aestiva and an Aestiva-approved hosting provider. No internal IT resources are required.

Aestiva recommends Aestiva-approved Cloud Hosting services for situations where you want to fully outsource the IT support for the application. Monthly Lease-to-own options are available to lower your monthly overhead. For additional information please speak to your Aestiva Account Coordinator.

Q: What is Price Transparency?
A: Price transparency is the practice of disclosing current and future costs and prices so customers can assess costs before they happen. Price transparency is best practiced using "institutional pricing" methods where list prices are the same for all customers, they are published, and costs are fixed, once established.

Aestiva believes and practices price transparency. Aestiva publishes pricing on its web site, whenever possible. Products are coded with pricing plan codes (They appear in the lower right side of each pricing box). If a job has an unknown cost due to unknown specifications, Aestiva will provide a cost range and determine the actual cost of the project before production work begins so the customer is aware of costs and has the opportunity to make adjustments, if needed.

Few enterprise software companies publish their prices on their web sites. We encourage and challenge the software industry to practice price transparency. It's long overdue.

Q: Why doesn't Aestiva provide a Software-As-A-Service option?
A: Aestiva does not offer a standard SaaS option since it is unfair to the buyer. Standard SaaS entices the buyer with a seemingly "lower" rate but locks them into a plan where they pay forever or lose their investment. In the end, the buyer pays more. In our opinion SaaS capitalizes on the greed and ignorance of customers.

Aestiva believes a more fair solution is Cloud Hosting.

What is Cloud Hosting?
Cloud Hosting is a type of Web Site Hosting where you host applications rather than web sites. Aestiva recommends Aestiva-approved Cloud Hosting providers since they provide account back-up, they operate secure (use HTTPS), and they are fully set up in one-hour.

The Lease-to-Own Plan
If wish to pay a low monthly fee, like SaaS, then Aestiva offers a Lease-to-Own plan. You'll pay rates similar to SaaS but you'll own the license at the end of the term -- after which your only costs will be an optional support plan and an optional Cloud Hosting plan.

Owning your License is Better
Owning your software gives you more flexibility. Your Aestiva product can be moved as you see fit between different in-house and out-of-house locations. There are no required fees other than the original cost of the software license.

Why owning is important.
With SaaS you never own your software license. After your initial contract expires, the SaaS service rate can rise to meet your "lock-in" costs. Lock-in costs are the costs you would need to incur to restructure your organization and install an alternative product. Such costs are huge. SaaS services know this. It is common for SaaS services, even the most reputable, to boost rates once contracts expire.

Q: How are software license fees determined?
A: Aestiva provides three pricing options and offers financing through an Aestiva-approved financing company if you wish to lower your monthly fee. All pricing options include a 30-day unconditional guarantee. The cost of the software license is determined in one of three ways -- it is up to you which pricing plan to use. We recommend going with the lowest cost option available since Aestiva allows you to switch plans and/or upgrade without penalties (you only pay for the difference between the cost of the two plans).

Name-Based Licensing
This is the standard and most common way to license an Aestiva product. The price of the software license is based on the number of login IDs in the system that are active. A system with 100 login IDs is more expensive than a system with 20 login IDs. A login ID that is not active is not counted.

Concurrent-User Licensing
This pricing mechanism is an excellent option for small-business systems where everyone needs access to the Aestiva product but few actually use the product at any one time. The license fee is the same whether you have one Login ID or 250 login IDs. The price is based on how many users can log into the system at a time. The price per user is much higher but when few users need to be on the system at a time, it is the preferred option. This option is available on most Aestiva products.

Transaction-Based Licensing
This pricing method uses the number of electronic forms submitted annually to determine the licensing cost. Whether you have 150 users or 2,500 users, the cost is the same. This pricing mechanism is an excellent option for medium-size systems with over 200 users but less than 15,000 electronic form submissions per year.


About Financing
The Aestiva web site provides estimated pricing for the financing of name-based licensed products for 36-month terms. Licensing is also available for 24-month terms, concurrent-user licensed products, and transaction-based licensed products. Q: How does Aestiva charge for support and upgrades?
A: Aestiva bundles software upgrades with support services. Annual support and upgrade contracts are priced at 16% of the current product value for values over $25,000, 18% of the current product value for values over $10,000 and 25% of the current product value for values below $10,000. Annual support and upgrade contracts are optional.

First-time Aestiva customers have their Basic Support fees waived for one year from the purchase date. During this time basic support and upgrades are provied free of charge. After the waiver Period a support contract is required. The contract will cover support and upgrades.

Q: What if I want to add automated "text" or "voice" alerts to my Aestiva product?
A: Aestiva provides its customers "texting" and "voice alert" services. There are no subscription fees for these services. Your product can be installed in-house or out on the Web. The service is one of the perks of Aestiva's SupportPlus plan. For further information speak to your Aestiva Account Coordinator.

Q: Can products be modified to fit my needs?
A: Aestiva products can be modified to meet specific needs. Changes are handled by Aestiva's production department. Speak to an Aestiva representative for further information.

Q: Is installation free?
A: Yes. First-time Aestiva customers benefit from free installation, even if you are hosted at a 3rd party hosting provider. If Aestiva does not have access to the equipment then Aestiva will work with the administrator who manages the server to ensure a smooth and fast install. Administrators can also install products themselves using Aestiva's install notes and automated installation wizards.

Q: Do I need to pay extra for setup?
A: In general, setup is provided at no additional cost. However, in some cases extra costs can occur. Read Aestiva's Support Policy page for details.

Q: How many IT hours per year should be needed to maintain an Aestiva product?
A: In general, very few. Once a product is installed administration is done by the application administrator using a browser-based control panel. No access to the server is needed. The IT department's only job is to keep the hardware running and backed up. If you opt NOT to host in-house then an IT department is not needed.

Q: Do Aestiva products include a guarantee?
A: Yes. First-time customers receive Aestiva's minimum 30-day "100% satisfaction or you do not pay" guarantee. If you need a longer guarantee period please speak to your Aestiva Account Coordinator.

Q: Can I have a guarantee on your Lease-to-own plan too?
A: Yes. Aestiva provides guarantees, even with Lease-to-own plans. Speak to your Aestiva Account Coordinator for more information.

Q: Do I need to pay for the product up-front?

Q: Do I need Aestiva Array to run an Aestiva product?
A: Yes. Array is the engine behind all Aestiva products. It is included at no extra charge with the purchase of an Aestiva product.

Q: What if I already have Aestiva Array?
A: If you already have Aestiva Array then an additional copy is not needed. A single copy of Array can run many products.

Q: Will I need to purchase additional software to run an Aestiva product?
A: No. Only a browser is needed on the desktop or mobile device accessing your Aestiva product. Plus, Aestiva products use Array, which includes a high-performance maintenance free database engine. The purchase, installation, or integration with another database engine is not necessary.

Q: Do Aestiva products require special plug-ins, Java applets, or Flash?
A: No. Aestiva products require no special plug-ins, Java, or Flash. Aestiva products work with standard web browsers without add-ons or special browser configuration.

Q: Can Aestiva products be installed into an existing website?
A: Yes. Aestiva products do not interfere with existing websites. They are installed in their own folder and will work side-by-side without affecting other web pages, products or tools installed in the site.

Q: Do I need to be technical to use an Aestiva product?
A: You do not need to be technical to use Aestiva products. Products are point-and-click. If you do need assistance, Aestiva's support department is there to help you.

The only products Aestiva sells requiring technical skills are Aestiva's development tools for web developers. They require a knowledge of HTML and scripting skills. But even here, Aestiva's support department is available to help. 3rd-patry technical assistance is available but not necessary.

Q: How can I try Aestiva products before purchasing?
A: Aestiva offers over-the-phone demonstrations with an Aestiva Account Coordinator. An Account Coordinator will walk you through the product you wish to see. Demonstrations are conducted daily.
